Overview

As a Reservations Coordinator, you will be a key factor to success in ensuring our guests receive both accurate expectations about Flyover as well as a memorable impression of our experience. You will  the primary contact looking to experience Flyover. This position requires strong communication, organizational and cross functional skills, initiative, problem solving skills as well as understanding key systems to book individual requests and large groups. This position also requires staying up to date on current procedures, events and any other relevant information to provide the correct information to inquiring guests and team members. By representing a popular attraction in Vancouver, the Reservations Coordinator is responsible for creating a cohesive, fluid environment for fellow team members and guests alike. The Reservations Coordinator should always strive to represent both Flyover and Vancouver with a positive attitude.

 

What is the compensation for this role?

This salary range for this position is $44,720.00 CAD annually based on experience and expertise, a full breakdown of benefits and perks will be provided during the interview process.

What will you do in this job?

Reporting to the General Manager and working closely with the Flyover Vancouver Operations and Sales & Marketing Team, your duties include but are not limited to:

 

  • Managing reservations and following through to completion which includes but is not limited to; collecting deposits, confirming group details, sending invoices, taking payments, processing refunds, making changes and answering any questions from clients while providing impeccable guest service
  • Handling phone calls, email, and chat inquiries in a welcoming and positive manner.
  • Create and maintain accurate and up to date customer profiles in reservations systems (RTP, Wizard, etc).
  • Work closely with the Operations team to ensure important information is communicated in advance of a group’s arrival.
  • Complete reservations for familiarization and complimentary ticket requests.
  • Take part in familiarization (FAM) tours for clients if necessary.
  • Assist with and completing other administrative tasks as needed, including reporting, tracking, group/event notification, using Pursuit Collection’s CRM, and others.

What skills and experience do you need for this job?

Ideal experience and skills

  • Outstanding guest service skills including complaint management and escalation
  • Expert knowledge of Flyover’s POS system to process all bookings promptly and accurately
  • High attention to detail and excellent problem-solving abilities
  • Ability to work effectively both in a team as well as independently in a fast-paced team environment
  • Strong communication and interpersonal skills
  • Internally motivated and extremely organized
  • Solid competency in MS Office tools including Word, Excel, Access, PowerPoint; Work with MS Teams.
  • Knowledge of Salesforce, Delphi.fdc (CRM) and RTP is an asset
  • Previous experience working in Hospitality or Reservations Centre
  • Extensive knowledge about Vancouver and the local area is an asset
  • Availability to work a variety of shifts including weekends, evenings, and holidays.
  • Be prepared – this role requires legal ability to work in Canada.
